Privacy Policy
Local-first by default. Cloud features by choice.
1. Who we are
Visioner CRM is operated by Ronisens Inc. ("Visioner," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Visioner CRM website, local Mac app, web app, cloud services, beta programs, and related support channels.
2. Information we collect
Depending on how you use Visioner, we may collect:
- Account information, such as name, email address, company, workspace name, plan, and billing status.
- Verified sender email addresses used to route BCC email capture to the correct workspace.
- Workspace content you provide, such as accounts, contacts, projects, org charts, tasks, files, notes, tags, and activities.
- Email capture data you choose to send to Visioner, including sender, recipients, subject, timestamps, project routing metadata, summaries, raw body, and attachments if enabled.
- Community content, such as posts, replies, anonymous handle, account community membership, reactions, and moderation signals.
- Optional contributed contact data, such as name, company, title, department, LinkedIn URL, business email, business phone, reporting relationship, and confidence metadata.
- Usage and diagnostic data, such as feature usage, device type, browser, crash logs, IP address, approximate location, and security logs.
- Support communications you send to us.
3. Local app data
The Mac beta is designed so core account planning data can run locally. Unless you enable sync or a cloud feature, accounts, contacts, projects, org charts, tasks, notes, and local exports are intended to remain on your device. Local device backups, file exports, and data you choose to share remain your responsibility.
4. Cloud features
Cloud features require login and explicit use. Examples include BCC capture, cloud sync, cloud backup, Contact Enrichment, Intelligence refresh, AI summaries, Visioner Credits, community features, and team collaboration. We process cloud feature data to provide the requested feature, secure the service, prevent abuse, troubleshoot issues, and improve product reliability.
5. BCC email capture
If you BCC or forward emails to a Visioner capture address, we process the message to route it to your workspace, match customer domains, create or update contacts when appropriate, summarize the communication, create waiting-reply or review tasks, and attach the record to an account or project.
BCC capture is not the same as inbox synchronization. In V1, waiting-reply status is a reminder based on an outbound email unless you forward replies or connect an email provider that allows reply detection. Raw email body and attachments may be retained only when enabled or required for the feature; otherwise we aim to retain metadata and user-approved summaries.
6. Contact contribution and Visioner Network
You may choose to contribute selected business contact facts to the Visioner Network in exchange for Visioner Credits or other benefits. Contribution is opt-in. We do not treat private notes, relationship health, project strategy, email bodies, account plans, or personal observations as contributed contact data unless a separate consent flow clearly says so.
Before accepting contributions, Visioner may display a review screen identifying the fields being contributed. We may use contributed business contact facts to validate, enrich, deduplicate, and make business contact data available to other Visioner users, subject to this Privacy Policy, applicable law, and user controls.
7. Account Community
If you join an Account Community, you may receive a system-generated anonymous handle. Community posts and replies may be visible to other users in that community. You should not post confidential, proprietary, regulated, or personal information that you are not authorized to share. We may moderate, remove, or restrict community content to protect users and the service.
8. AI and third-party services
Some cloud features may use AI models, search providers, email infrastructure, analytics, payment processors, enrichment providers, or hosting providers. We may send only the information needed to complete the feature, such as a prompt, account domain, company name, public URL, contact fields, or email summary. We do not sell raw workspace content to AI model providers.
9. How we share information
We may share information with:
- Service providers that host, secure, process, analyze, or support Visioner.
- Other users in your workspace or team, according to your workspace settings.
- Other users in Account Communities, for content you choose to post or contribute.
- Third-party enrichment or AI providers when you request those cloud features.
- Law enforcement, regulators, or other parties when required by law or needed to protect rights, safety, security, or the service.
- A successor entity in connection with a merger, acquisition, financing, restructuring, or sale of assets.
10. Data retention
We retain information for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business purposes. Intelligence items may expire automatically based on product settings, such as deleting stale news items after a defined period. You may request deletion of your account or workspace data by contacting support.
11. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure. You are responsible for safeguarding your account, devices, exports, passwords, and any third-party credentials you connect.
12. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of personal information. You may also choose not to use cloud features, not to contribute contact data, not to join communities, or to turn off sync where available.
13. International use
Visioner may process information in the United States and other countries where we or our service providers operate. If you use Visioner from outside the United States, you understand that information may be processed in countries with different data protection laws.
14. Changes
We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify users, such as by posting an updated policy, showing an in-product notice, or requiring renewed acceptance where appropriate.
